Event Support & Sanctioning

We request all organizers submit a simple form to help us centralize your info in one place and forward it to different team members with specific roles within event support. 

A few ways we can assist you:

  1. Promotional: i.e Calendar Inclusion, Social Media Support, IDSA-Logo use
  2. Race Results Verification: Webscorer Inclusion
  3. Advisory: Planning, Working With Local Governments, Rules, Event Safety, Insurance, Sponsorships
  4. Sanctioning: Eligibility for World Records
  5. Donations: Event Prizes, Free Memberships For Participants

While SkateIDSA membership is not required to receive event support, we strongly hope you consider joining us starting at just $10.

Below are the basic requirements:

Basic Requirements for a "Skate IDSA Supported" Event 

  • SkateIDSA-supported events DO NOT have to have a race or competitive elements, they could be community-building group rides, large and small
  • Event organizers must demonstrate to IDSA that the event has a safe environment for participants in their event inquiry form submission.
    • Generally, events with safe environments are ones held on closed roads or trails without active motorized traffic, or an active road that the local government will provide or approve traffic control measures. 
    • Non-competitive group rides can utilize public roads so long as they do not put riders in considerable danger and are properly supported from a safety standpoint.
    • Event organizers will enforce a helmet rule on all riders. 

Basic Requirements for a "Skate IDSA Supported" Event With Race Or Time Trial Component

  • In addition to a comprehensive safety plan outlined above
  • Timing system info - for time trials and races a separate “scorekeeping” plan must be submitted with a brief but comprehensive description of the timing system. 
    • Events can be “self-timed” but must have some sort of review process
    • Timed events must have 10 or more participants to be eligible for rankings inclusion on IDSA.org
  • Post-event spreadsheet of results. Please review SkateIDSA’s rules and regulations and podium recommendations.

Basic Requirements for a "Skate IDSA Sanctioned" Event With Race Component

  • For 24 hour, 6 hour, Marathon events for "World Record" verification eligibility 
  • All of the considerations above, along with the following:
  • Course measurement using Jones Counter method, approved by SkateIDSA Measurement Lead
  • Post-event spreadsheet of results. Please review SkateIDSA’s rules and regulations and podium recommendations.

Producing your own event checklist (not all items may apply)

  • Contact local municipality or facility for permitting instructions 
  • Fill out permit applications
  • Develop an Event Action Plan and Site/Course Design must include staffing needs, volunteers,  site layout, distances or type of event, City Services needed (Police, fire, solid waste, etc.), and  vendor services needed 
  • Budget development and follow through 
  • Develop Website or Event Page 
  • Set Up pricing and online registration portal 
  • Develop an advertising plan that includes several communications to registered participants as  well as past participants… Ensure unique content is created for all social media posting. 8. Develop a PR Plan 
  • - Prepare Press Releases 
  • - Prepare a Distribution list of local and national media 
  • - Place event on as may calendar listings as possible that are related to sport.
  • Decide and source quotes from potential vendors: 
  • - Audio/ Announcer/Host 
  • - Photo/Video 
  • - Tenting /Furniture /Bathrooms 
  • - Food/Hospitality 
  • - Timing services 
  • - Signage/Banners/Design services 
  • - Safety devices 
  • - Awards 
  • - Apparel/Giveaways 
  • - Hotels/Housing 
  • - Event Setup personnel/Company 
  • - Cleanup 
  • Source a list of potential sponsors with contact names and numbers 
  • Design a Sponsorship Proposal that explains your target market and event potential to distribute  to list created. 
  • Create an online registration form for Volunteer registration and communication
  •  Monitor and track ad campaign with any kind of analytics possible in order to be able to tweak it  for future years. 
  • Create a Safety and Emergency Action Plan for your participants and spectators.
  • Develop Local Partner initiatives (vendor booth setups, restaurant coupons, giveaways, etc.) 
  • Sanctioning documents and Insurance Paperwork in place with governing body. 
  •  Develop a post event wrap up communication to participants, staff, vendors, and sponsors with  a potential for another event in the making.
