Event Sanctioning

Basic Requirements for a Skate IDSA Recognized Event 

  • Event organizers must provide proof to IDSA that the event has a safe environment for participants in the form of a brief but comprehensive safety plan.
    •  Events with safe environments are ones held on closed roads or trails without active motorized  traffic, or an active road that the local government will provide or approve traffic control measures. 
    • Event organizers will enforce a helmet rule on all riders. 
    • IDSA event insurance is not required but may still be purchased if needed. 
  • Timing system info - for time trials and races a separate “scorekeeping” plan must be submitted with a brief but comprehensive description of the timing system. 
    • Events can be “self-timed” but must have some sort of review process
    • Timed events must have 10 or more participants to be eligible for rankings inclusion on IDSA.org
  • Event organizers may provide participants Name, Age, Finishing times to IDSA for official posting  of event results.

  • Organizer must be a current IDSA member.

Producing your own event checklist (not all items may apply)

  • Contact local municipality or facility for permitting instructions 
  • Fill out permit applications
  • Develop an Event Action Plan and Site/Course Design must include staffing needs, volunteers,  site layout, distances or type of event, City Services needed (Police, fire, solid waste, etc.), and  vendor services needed 
  • Budget development and follow through 
  • Develop Website or Event Page 
  • Set Up pricing and online registration portal 
  • Develop an advertising plan that includes several communications to registered participants as  well as past participants… Ensure unique content is created for all social media posting. 8. Develop a PR Plan 
  • - Prepare Press Releases 
  • - Prepare a Distribution list of local and national media 
  • - Place event on as may calendar listings as possible that are related to sport.
  • Decide and source quotes from potential vendors: 
  • - Audio/ Announcer/Host 
  • - Photo/Video 
  • - Tenting /Furniture /Bathrooms 
  • - Food/Hospitality 
  • - Timing services 
  • - Signage/Banners/Design services 
  • - Safety devices 
  • - Awards 
  • - Apparel/Giveaways 
  • - Hotels/Housing 
  • - Event Setup personnel/Company 
  • - Cleanup 
  • Source a list of potential sponsors with contact names and numbers 
  • Design a Sponsorship Proposal that explains your target market and event potential to distribute  to list created. 
  • Create an online registration form for Volunteer registration and communication
  •  Monitor and track ad campaign with any kind of analytics possible in order to be able to tweak it  for future years. 
  • Create a Safety and Emergency Action Plan for your participants and spectators.
  • Develop Local Partner initiatives (vendor booth setups, restaurant coupons, giveaways, etc.) 
  • Sanctioning documents and Insurance Paperwork in place with governing body. 
  •  Develop a post event wrap up communication to participants, staff, vendors, and sponsors with  a potential for another event in the making.
